NewroHelp Inc. ("we," "us," or "our") is an AI voice platform incorporated federally in Canada and registered in Ontario. This Privacy Policy explains how we collect, use, disclose, and protect personal information in connection with our services — an AI-powered phone platform that manages inbound and outbound calls on behalf of our business clients.

We are subject to Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Quebec's Act respecting the protection of personal information in the private sector (Law 25). By using our website or interacting with our AI by phone, you acknowledge the practices described in this policy.

01Who This Policy Covers

This policy applies to two categories of people:

  • Business clients — businesses that subscribe to NewroHelp to manage their phone communications using AI. If you are a business client, additional terms in your service agreement also govern our data practices.
  • End callers — members of the public who interact with our AI over the phone on behalf of a business client.

02Information We Collect

From end callers
  • Call recording and transcript — your call is recorded and transcribed by our AI platform.
  • Name — if you provide your name during the call.
  • Phone number — your caller ID, captured automatically.
  • Inquiry details — information you share during the call relevant to the business you are contacting.
  • Call metadata — date, time, duration, and outcome of the call.
From business clients
  • Business name, address, and contact details.
  • Authorized user names and email addresses for dashboard access.
  • Billing information (processed by our payment processor; we do not store full payment card details).
  • Business configuration data such as hours of operation, call scripts, and service descriptions.
From website visitors
  • Standard server log data (IP address, browser type, referring URL, pages visited).
  • Information submitted via contact or demo request forms.

03Call Recording and AI Disclosure

At the beginning of each call, our platform delivers a clear verbal disclosure informing the caller that: the call is being handled by an AI; the call is being recorded; and the purpose of the recording.

Under PIPEDA and applicable Canadian privacy law, businesses must inform callers of a recording, state its purpose, and obtain consent — which may be implied if the caller continues after being notified. Our platform is designed to satisfy this requirement at the start of every call. Callers who do not wish to be recorded may decline to continue and contact the business by other means.

We do not use call recordings or transcripts for purposes other than those disclosed at the time of collection.

04How We Use Personal Information

  • To provide AI-powered phone services on behalf of our business clients.
  • To generate call logs, transcripts, and analytics for the business client's dashboard.
  • To extract structured information from calls using AI (e.g., appointment details, inquiry types).
  • To enable business clients to follow up with callers and manage leads.
  • To improve the accuracy and performance of our AI — using de-identified or aggregated data only. Personal information from calls is never used to train AI models in identifiable form.
  • To process payments and manage billing for business clients.
  • To respond to inquiries submitted via our website.
  • To comply with applicable legal obligations.

We do not sell personal information to third parties. We do not use caller data for advertising purposes.

05How We Share Personal Information

  • Business clients — call logs, transcripts, and caller information are shared with the business client on whose behalf the call was handled.
  • Infrastructure and AI service providers — our platform relies on third-party cloud services for audio processing, transcription, telephony, and AI operations. All such providers are contractually required to handle personal information in accordance with applicable privacy law.
  • Payment processor — billing information for business clients is handled by our payment processor, contractually bound to handle it securely.
  • Legal authorities — if required by law, court order, or to protect the rights, property, or safety of NewroHelp, our clients, or others.

We do not share personal information for advertising, marketing, or profiling purposes.

06Data Retention

Call recordings & transcriptsRetained for 12 months after the call date, then permanently deleted.
Business client account dataRetained for the duration of the subscription and for 90 days following termination.
Billing recordsRetained for 7 years as required by applicable tax law.
Website inquiriesRetained for up to 12 months.

Retention periods may be extended if required by law or to resolve an active dispute.

07Security

We implement technical and organizational measures to protect personal information against unauthorized access, disclosure, alteration, or destruction. These include encrypted data transmission (TLS), encrypted data storage, access controls, and access restricted to personnel with a legitimate operational need.

No system is completely secure. In the event of a security incident involving personal information that poses a real risk of significant harm, we will notify affected individuals and the appropriate regulatory authority as required under PIPEDA and Law 25 (the Commission d'accès à l'information du Québec for Quebec residents).

08Your Privacy Rights

All Canadian residents (PIPEDA)
  • Request access to personal information we hold about you.
  • Request correction of inaccurate or incomplete information.
  • Withdraw consent to collection or use, subject to legal or contractual limitations.
  • Lodge a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca.
Quebec residents (Law 25)
  • Request de-indexing or deletion of personal information in certain circumstances.
  • Receive personal information in a portable, structured format (right to data portability).
  • Be informed when personal information is used for automated decision-making.
  • Lodge a complaint with the Commission d'accès à l'information du Québec at cai.gouv.qc.ca.

If your data was collected on behalf of a specific business client, we may need to direct your request to that client. We will respond to all verifiable requests within 30 days.

09Cookies and Website Tracking

Our website uses only essential cookies required for functionality. We do not use third-party advertising cookies or cross-site tracking technologies.

10Children's Privacy

Our services are designed for and directed at businesses and their adult customers. We do not knowingly collect or retain personal information from individuals under the age of 18. Because our AI handles calls from the general public, it is possible that a minor may interact with the platform. We do not use any such data beyond the immediate call purpose, and if we become aware that personal information has been collected from a minor, we will delete it promptly. If you believe a minor's information has been collected through our platform, please contact us at privacy@newrohelp.com.

11Cross-Border Data Transfers

NewroHelp is incorporated in Canada. Some of our third-party service providers may process or store data in the United States or other jurisdictions. Where such transfers occur, we ensure appropriate contractual safeguards are in place consistent with PIPEDA and applicable law.

12Privacy Officer

As required under Quebec's Law 25, NewroHelp has designated a Privacy Officer responsible for ensuring compliance with applicable privacy legislation. The Privacy Officer can be contacted at privacy@newrohelp.com.

13Changes to This Policy

We may update this policy from time to time. We will post the updated policy at this URL with a revised effective date. Material changes will be communicated to active business clients by email at least 30 days before taking effect.
